Privacy Policy

This Privacy Policy explains how VoIPnMore ("we", "us", "our") collects, uses, discloses, and protects personal information in connection with our website, hosted VoIP services, hardware store, and customer portal. It is written to reflect our obligations under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws. This page is maintained by VoIPnMore and is not an independent certification.

1. Information we collect

  • Account & identity: name, email, phone, company, billing and shipping address.
  • Service data: assigned DIDs, SIP sub-account IDs, plan and subscription details, tickets you submit.
  • Call & message metadata (CDR): caller/called numbers, timestamps, duration, disposition, and SMS delivery events. We do not record call audio unless you explicitly enable call recording on your account.
  • Voicemail & recordings: audio you or your callers store on our platform for your retrieval.
  • Payments: processed by Square. We store an order reference and the last 4 digits / brand of the card; we do not store full card numbers or CVV on our servers.
  • Technical: IP address, browser, device, log data, and cookies necessary to run the site and portal.

2. How we use information

  • Provide, secure, and improve the Services (provisioning SIP accounts, routing calls, delivering hardware, handling support tickets).
  • Bill you and prevent fraud, chargebacks, and abuse.
  • Comply with CRTC, CASL, tax, and lawful-access obligations.
  • Send service and transactional emails. Marketing emails only with your consent, with a one-click unsubscribe.

We do not sell your personal information. We do not use call content for advertising or model training.

3. Service providers & disclosures

We share the minimum information required with vetted providers under contract:

  • voip.ms — upstream carrier for DIDs, SIP, SMS, and CDR.
  • Square — payment processing and card tokenization.
  • Lovable Cloud — hosting, database, authentication, and file storage.
  • Vapi — optional AI voice agents (only if you configure them).
  • Shipping carriers — to deliver hardware orders.

We may also disclose information when required by law, subpoena, or valid legal process, or to protect the rights, property, or safety of VoIPnMore, our customers, or the public.

4. Cross-border transfers

Some providers may process data outside Canada (typically the United States). While processed abroad, information is subject to the laws of that jurisdiction, including lawful-access requests. We select providers with contractual and technical safeguards appropriate to the sensitivity of the data.

5. Retention

  • Account records: for the life of the account plus 7 years for tax and regulatory purposes.
  • CDR (call metadata): 12 months by default; adjustable by request within legal limits.
  • Voicemail: until you delete it, or up to 90 days after account closure.
  • Support tickets: 3 years from resolution.

6. Security

We use industry-standard safeguards: TLS in transit, encrypted storage of sensitive credentials (AES-256-GCM), role-based access, database row-level security, audit logging, and least-privilege administration. No system is perfectly secure; we investigate and, where required, notify affected individuals and the Office of the Privacy Commissioner of Canada following a real risk of significant harm.

7. Your rights

You may:

  • Access a copy of the personal information we hold about you.
  • Correct inaccurate information via the portal or by request.
  • Withdraw consent to marketing communications at any time.
  • Request deletion of your account, subject to legal retention requirements.
  • File a complaint with our Privacy Officer and, if unresolved, with the Office of the Privacy Commissioner of Canada (priv.gc.ca).

8. Cookies

We use strictly necessary cookies to keep you signed in and to remember cart contents, and limited first-party analytics to measure aggregate usage. We do not use third-party advertising cookies. You can control cookies through your browser settings; disabling them may break the portal.

9. Children

The Services are intended for businesses and adults. We do not knowingly collect information from children under 13. If you believe a child has provided information, contact us and we will delete it.

10. Changes

We may update this Policy. Material changes will be posted here with an updated date and, where required, communicated by email.
